About the Role:
As an Executive Secretary at xIoTz, you will play a crucial role in driving the growth and success of our cyber security startup working alongside the CEO.
Ensures seamless operations for both the executive’s administrative needs and the strategic management of customer relationships.
This hybrid role requires an individual who is organized, communicative, and customer-oriented, capable of juggling multiple high-priority tasks while supporting the CEO’s day-to-day activities.
You will work closely with our sales and marketing teams to nurture relationships with potential clients, and promote our innovative security solutions.
Calendar Management: Organize and maintain the CEO’s schedule, coordinate meetings, appointments, and events.
Correspondence: Handle emails, phone calls, and other communication on behalf of the CEO, ensuring that important messages are prioritized and responded to promptly.
Document Management: Prepare and organize reports, presentations, and other documents needed by the CEO. This could include drafting and proofreading correspondence.
Meeting Coordination: Schedule and organize meetings, take minutes, and track follow-up actions.
Confidentiality: Handle sensitive information and ensure it is managed professionally with high confidentiality.
Travel Arrangements: Book flights, hotels, transportation, and itineraries for business trips.
Administrative Tasks: Maintaining files and records, Handling expense reports and reimbursements.
Point of Contact: Act as a point of contact between the CEO and internal or external stakeholders.
Client Liaison: Act as the primary contact between key clients and the CEO, ensuring communication flows smoothly and effectively.
Client Relationship Management: Maintain strong relationships with important clients, understanding their needs and ensuring they are met. This could include regular check-ins, problem resolution, and addressing any concerns or needs the client may have.
Sales Support: Assist in identifying opportunities for cross-selling or upselling services to clients and support the CEO in closing high-level deals.
Client Satisfaction: Monitor customer satisfaction levels and escalate issues to the CEO when necessary to ensure clients’ needs are met to the highest standard.
Feedback Collection: Gather feedback from customers and provide it to the CEO to inform business decisions and improve products or services.
Reporting and Analysis: Track customer activity, feedback, and engagement. Prepare reports to give the CEO insights into customer satisfaction, trends, or issues that need attention.
Client Events: Help organize events or meetings with important clients, ensuring the CEO’s presence and involvement in relationship-building activities.
Networking: Assist the CEO in managing relationships with key industry figures or top clients by coordinating introductions, meetings, and follow-ups.
Key Skills Required:
Strong Organizational Skills: The ability to manage both high-level administrative tasks and client-facing activities efficiently.
Exceptional Communication Skills: Clear, professional communication is crucial, both in managing the CEO’s correspondence and in maintaining positive relationships with clients.
Multitasking Ability: Balancing multiple tasks such as scheduling, customer interaction, and handling confidential matters requires a high level of multitasking skills.
Confidentiality and Discretion: As the role involves sensitive information about both the CEO and customers, discretion is paramount.
Customer-Focused Mindset: A keen interest in understanding customer needs and building strong, lasting relationships with clients.
Tech Proficiency: Familiarity with office management software (e.g., Microsoft Office, Google Workspace) and CRM tools (e.g., Salesforce, HubSpot).
Qualifications:
A Bachelor degree in business administration, communications, or a related field would be an advantage, but this role is based on Common-sense, Agility and adaptability with no mandatory qualification.
Prior experience in executive assistance, customer service, or sales coordination is often beneficial.
Strong time-management skills, attention to detail, and ability to prioritize tasks are essential.
